The advantage of a manual transaction entry versus a quick entry is that The Truckers Helper remembers the information from the last transaction entry.
To Complete A Manual Transaction Entry:
Display the Income & Expenses window as outlined in About Income and Expenses.
Click
the Add
button
located on the bottom toolbar.
Enter the ProNumber (if the expense is for a specific trip), if expense does not apply to a specific trip press ENTER and the program will enter N/A for you. .
Enter the Truck Number (if this expense applies to a specific truck), press ENTER if it does not apply to a specific truck and the program will enter N/A for you. (Click the Truck # text field box to display the Change Truck dialog box.)
Enter the Date.
From the Type pulldown list choose the type of transaction or type the name of the account in the Type box.
Enter the Amount of the transaction. You can also enter a simple math formula in this box (see Entering Percentages) for details.
From the Payment Acct pulldown list choose the payment account, or type the name in the Payment Acct box.
From the Charge To Acct pulldown list choose the charged to account, or type the name in the Charge To Acct box.
Enter a note in the Memo text box, if applicable.
Enter Fuel Purchases Only data if you entered Fuel-Reefer or Fuel-Truck for the Charge To Acct the program will take you to the Fuel Data section. Otherwise leave blank.
Hub Reading - used to track miles per gallons between fuel fill ups enter 0 (zero) if you don't have the hub reading.
Receipt Number - enter used for fuel receipt number.
Fuel Gallons - enter the number of gallons purchased from the receipt.
Refer Gallons - enter the number of gallons purchased from the receipt (note: you cannot enter both Truck & Reefer fuel in one entry - they must be done as seperate entries).
Cost Per Gallon - the program will calculate the cost per gallon. (Be sure cost per gallon agrees with your fuel receipt.)
State - enter the two letter state abbreviation for the state in which the fuel was purchased.
Enter Tolls Only data if you entered Tolls as the Charge to Acct the program will take you to the Toll Data section. Otherwise leave blank.
Hub Start - enter 0 (zero) for Bridges, etc. or when you do not want to track the number of miles on the toll road.
Hub End - enter 0 (zero) for Bridges, etc. or when you do not want to track the number of miles on the toll road.
Toll Road /Route - highway or route number or name of bridge, etc.
State - state in which the toll was paid.
Click

located on the bottom toolbar.
Income & Expense Accounting Status Box Features:
Outstanding Bills - Click the amount text field box to display the check list of all outstanding bills. Select the Transaction Number (for bill to pay) check box. From the menu bar choose Process. From the Process pulldown menu choose the account to pay the bill. The Pay Bills dialog box is displayed. Click Yes to verify.
Outstanding Payables
Checks To Be Printed - Click the amount text field box to display the check list of all outstanding checks. (Payee Missing Info is caused by not turning ON Check Payee in Accounting Options.) Select the Transaction Number (for check to print) check box. From the menu bar choose Process. From the Process pulldown menu choose the account to pay the bill. The Pay Bills dialog box is displayed. Click Yes to verify.

Alerts - Displays any alerts entered in Accounting Options.
Refresh - Recalculates Accounting Status Box amounts.
