As with any mileage program there will be discrepancies between Actual Miles (odometer on the truck) and Routing Miles. Apportioning accounts for the discrepancies by assigning additional miles for each trip and each state, based on the percentage of miles traveled for each state. It is suggested you apportion Miles at least once every quarter, usually before you complete the final IFTA Fuel Tax Report.
Note: The Apportioning Miles feature is only available with Routing.
To Apportion Miles:
Retrieve the final hub (odometer) reading on the truck for the last trip during the quarter.
Display the Mileage Tracking window as outlined in About Mileage.
Click
the Apportion
button
located on the Mileage Tracking toolbar. The Temporary
Backup dialog box is displayed.
Click OK. A Helpful Hints dialog box is displayed indicating "A temporary backup of your mileages for this truck will be made before the apportion is performed. This backup will be erased when you change trucks. After running Apportion check your mileage - if they're incorrect click Adjustments/Restore Miles to undo the change."
Click OK. The Ending Date dialog box is displayed.
Enter the Ending Date for the quarter and click OK. The Report Period dialog box is displayed.
Enter the number of days to report and click OK. The Mileage Apportionment dialog box is displayed.
Enter the current odometer reading, or the ending hub (odometer) reading for this truck and click OK. The Truckers Helper calculates how many miles need to be added and apportion these miles (split mileage difference over all states traveled).
A message dialog box is displayed indicating "Apportionment complete. Please run verify to ensure no errors occurred." Apportion may not match your ending hub (odometer) exactly, but it will be within a couple of miles. This occurs because Apportion is setup to round the number of miles.
Note:
Once The Truckers Helper apportions your miles, check those miles. If
they are incorrect, click the
Adjustments
button
located on the Mileage Tracking toolbar. Choose
Restore Miles from the Adjustments
pulldown menu to undo the change.
