Program Setup

    
THE SETUP FLOW -      the setup flow will guide you through the initial setup of the program. This is REQUIRED before you start using the program so it will know what trucks and drivers as well as what methods you want to use in tracking them. 
       
This is where you will add/edit your account details, Name, Address, etc. Please watch the HELP/START-UP-SETUP/MY ACCOUNT OVERVIEW to get an understanding of the many options available here. This is where you change your password, select the Program options you want, setup and administer users, review payments and update your credit card details and cancel your account if you no longer need to use the program. As with all of the program there are extensive help Tutors throughout this section, be sure to watch them as well as reading the manual.
 
This section is used to setup your trucks. The only required information is the truck number and the service intervals, but this section includes the ability to setup and track the financial details (purchase details), automatically set up your asset & liability account for each truck, set up maintenance reminders and a record of service performed. Be sure to watch the tutor as well as referring to the manual for details in this section.
 
EMPOLYEES - SETUP DRIVERS, SETUP OWNER/OPERATORS -
This is the employee section. ALL EMPLOYEES, drivers, leased owner operators office and other salaried employees are  set up in this section. Anyone who is subject to payroll (including 1099 employee's) is set up here. Outside contractors are not employees and are handled outside of payroll.
 
Anyone running under your authority is considered an employee. This includes owner/operators who run under your authority and are considered 1099 employees. An outside contractor is someone who operates his own equipment under his own authority. Outside contractors are not paid via payroll. See the payroll section for complete details on this subject. Also please read the article on Who's An Employee for important information on the practice of treating company drivers as contract labor.
 
Payroll is a complete trucking specific payroll system. Whether you intend to use payroll or not we recommend that you set it up either way. The truck assignments (what driver is assigned to what truck) are kept in the Payroll Setup and assigning the trucks if you have permanent truck assignments is a time saver in data entry later. If you do intend to use payroll it will handle most common truck payment options, pay/miles for billed miles or actual miles, percentage, and salary for salaried employees. It will also handle all state and federal withholding and most common forms, W2, 1099, 940, etc. can be filed online for a small additional fee.
FLEET FLOW ONLY 
Basic accounting setup was done during your initial setup of the program when you set up your CASH & CHECKING accounts. Before you start using the program you should also set up the rest of your accounts, charge accounts, assets & liabilities and be sure that your account balances are correct and that your BALANCE SHEET balances. This is critical for those who wish to use Truckers Helper as their single source business records and intend to keep an accurate Profit & Loss and Balance Sheet.
